The objective of this privacy policy is to provide information on the purposes of data processing of personal information of a natural person - data subject, legal basis of such personal data processing, categories of the recipients of personal data, duration and safety of data storage, personal rights and other information in accordance with the requirements of Regulation 2016/679 of the European Parliament and of the Council of 27 April 2016 on the protection of natural persons with regard to the processing of personal data and on the free movement of such data (General Data Protection Regulation) (hereinafter - Data Regulation).

The Privacy Policy shall be observed when performing any type of personal data processing, including the protection of privacy and personal data of the buyers, other users of our services or service providers as much as applicable, as well as, while maintaining the appropriate operation of the internet website www.balticwoodtrade.lv maintained by Baltic Wood Trade (hereinafter - the Website). 

This Privacy Policy applies to data processing irrespective of the form of provision of personal data by natural persons (orally, in paper format or in electronic format) and of the company systems that are used to store the data.

Order data: Products ordered, quantity, prices thereof, date of order processing, etc.

Communication data: order related communication with the Buyer on the purchase and execution of the order, references, evaluations, etc.

Baltic Wood Trade has installed warning signs that notify about video surveillance in the areas where video surveillance is in use. 

Video surveillance is not in use in premises, where increased privacy needs are expected.

Personal data created in process: personal data are created during operation, for instance, during a visit to the premises of Baltic Wood Trade (video surveillance); cookies.

Received from co-operation partners: we may receive your personal data from our co-operation partners, for instance, from the information that the delivery of goods has been successful. 

Public and private registers: In certain cases RB Rail may receive data from public registers and data bases.

Personal data forwarding to a third country (beyond the European Economic Area) and automated decision making

The geographic area of personal data processing in the European Union/European Economic Area. Personal data will not be forwarded to third parties or international organisation (this does not apply to cookies).

Automated decision making is not in use.

Categories of personal data recipients

Baltic Wood Trade does not disclose the personal data at our disposal or any information obtained during the effective period of service provision or purchase contract to third parties, except:

a)    The cases, where personal data must be submitted within the framework of a concluded contract in order to perform a function required for the implementation of the contract or provided for by the law. For instance, the delivery of the Products is performed by our co-operation partner, “Schenker” logistical service provider, which is an independent data controller. Furthermore, payment data are transferred to payment service providers, who are independent data controllers;

b)    If clear and unambiguous consent to the transfer of personal data to a third party has been received;

c)    If the data must be submitted to the subjects provided for by the laws and regulations, based on the justified request of such bodies, but only in the amount and in accordance with the procedures provided for by the laws and regulations.

In order to implement the contract concluded with the customers, Baltic Wood Trade may authorise our co-operation partners to perform certain operations of service provision, for instance, drafting of assessments, drafting of invoices and other information, processing of taxation liabilities, etc. If, for the performance of these functions, a co-operation partner needs to process the personal data of Baltic Wood Trade customers on our behalf and on our commission, such co-operation partners will be considered to be data processors of Baltic Wood Trade. Baltic Wood Trade is entitled to transfer the personal data of the customers required for the performance of these functions to the data processors in the amount that is required for the performance of these functions. Data processors will ensure compliance with personal data processing and protection requirements in accordance with the requirements of Baltic Wood Processing and laws and regulations and will not use personal data for purposes other than the performance of contractual liabilities on order from Baltic Wood Trade. Baltic Wood Trade has concluded a data processing contract with the processors in accordance with the requirements of Article 28 of the Data Regulation. 

Duration of storage of personal data

Baltic Wood Trade shall store personal data for no longer than required for the reaching of the respective objective of data processing. General personal data shall be stored until:

a)    The performance of the duty established by the laws and regulations (for instance, accounting requirements);

b)    If processing is implemented on the basis of consent, the personal data shall be processed for as long as the provided consent is in effect and has not been recalled;

c)    The reaching of the defined objective of processing.

Longer period of storage of personal data shall be permissible to protect legal interests of Baltic Wood Trade, for instance, in the event of litigation. 

The recordings of video surveillance shall be stored for no longer than 30 days. The recordings are erased automatically in chronological order based on the moment when the recording was made. Certain recordings may be stored for a longer period of time, if required for the reaching of specific objectives, for instance, for the purposes of investigation of incidents and law violations.

When this period expires, Baltic Wood Trade will delete your personal data or make them unavailable (archiving), or non-identifiable, so that they may no longer be linked to you.

Information security

Baltic Wood Trade implements appropriate measures to protect personal data against accidental or illegal elimination, loss, transformation of the forwarded, stored or otherwise processed personal data, unauthorised disclosure of the data or access to the data. 

Baltic Wood Trade shall process personal data by using the options of modern technologies, considering the current data processing risks and organisational, financial and technical resources available to the company. The company shall implement appropriate measures to protect personal data against accidental or illegal destruction, loss, forwarding, of transferred, stored or otherwise processed personal data, unauthorised disclosure of the data or access to the data. 

In the event of a personal data security incident, where it causes the potential of a high risk to your rights and freedoms, we will immediately notify you of such an incident, if possible, or the respective information will be published on our website or in any other way that is available.

The Website may contain links to third-party websites, which have their own use and personal data protection regulations, which Baltic Wood Trade is not responsible for.

Rights of the Data Subject

Normative regulation in the area of data protection grants several rights to you and may affect your personal data processing. To exercise these rights, please, submit an application to Baltic Wood Trade:

a)    In person at the premises of Baltic Wood Trade (take your password or ID card with you), or;

b)    By sending an application signed by a secure electronic signature and the time stamp to veikals@balticwt.lv.

After the receipt of the application, Baltic Wood Trade will identify you, namely, verify that you are the person that you claim to be and provide a response within one month. If required, the aforementioned time period may be extended by two more months, considering the complexity of requests and the number thereof. Baltic Wood Trade will inform you of any such extension and the reasons for the delay within one month from the receipt of the request.

Access to personal data

You are entitled to request confirmation from Baltic Wood Trade of whether they are processing your personal data, and, in this case, to request the company to issue a copy of your personal data that are in processing. Baltic Wood Trade shall provide this information free of charge. If the requests are obviously unjustified or excessive, especially due to regular repetitiveness thereof, Baltic Wood Trade may either: 

a)    Request reasonable remuneration, considering administrative costs associated with the provision of information of communications, or the performance of the requested activities;

b)    Or refuse to meet your request.

Editing of personal data

If the data at our disposal have changed or, if you notice that the information about you that we are processing is not precise or correct, you shall be entitled to request that this information is changed, specified or corrected. Withdrawal of consent

To the extent that Baltic Wood Trade processes your personal data based on your consent (for instance, cookies), you have the right to withdraw your consent regarding the processing of personal data at any time. In this case that Baltic Wood Trade ceases processing your personal data for the purpose that you have provided your consent for. Please note that the withdrawal of consent will not entitle you to contest the legal nature of data processing that Baltic Wood Trade had performed before the withdrawal of consent. 

Deletion

Under certain conditions you shall be entitled to request Baltic Wood Trade to delete your personal data. However, be advised that deletion of personal data is impossible in cases where the data processing arises from normative regulation. When the data are no longer required for the implementation of the defined functions, Baltic Wood Trade shall delete, archive or make them inaccessible/unidentifiable in any other way. 

Limitation of processing and objections to data processing

Under certain conditions you shall be entitled to request Baltic Wood Trade to limit the processing of your personal data. However, be advised that limiting of personal data processing is impossible in cases where the data processing arises from normative regulation.

Data portability

Under certain conditions, you have the right to receive or transfer your personal data to another data controller. These rights only include data that you have provided to Baltic Wood Trade on the basis of your consent or the contract.
